  • The purpose of this meeting is to review the volunteering roles for the Circle Of Stars competition on Februrary 20-21.

  • Statements will be prepared & distributed by Dec. 15^th – payments to be made on or before January 15^th – final Booster Club payment – postponed from November to allow for additional fundraising dollars to accrue in order to reduce amount.
  • A few Moms made Holiday “Thank You” cards a week ago and they are still available at 4/$5. $3.40 would go toward your Booster Club account.

  • 2^nd – Wait for receipt of confirmation e-mail (you should have received one already).

  • Joan will be attending a “Circle of Stars” meeting on August 13^th.  She will provide details at our next meeting.
    • Initial task will be to create the planning committee
    • Sub-committees will then be created for such areas as: awards, hospitality (i.e., provide meals for judges), T-shirts, etc.
    • Discussion on sponsorships:
      • Levels of participation/recognition & related amounts (e.g., Gold/Silver/Bronze).
      • Sponsor recognition (e.g., T-shirts, website, event program).
      • Calculation of net profit split between Booster Club & Individual accounts.
      • Further discussion required. 
• Event Coordination – Tracy Butler:
  • “Save the Date” Parent Meeting:
    • Billaricay Park on Sept. 13^th  from 12:30-2pm with practice following at 2:30pm (all teams).
    • This may become the annual location/event for the parent meeting.
    • Amy will send an e-mail to Tracy (on vacation) regarding sending directions/map.
    • Agenda will be discussed/developed during the next meeting.
    • Volunteers for Circle of Stars event will be requested.

    • Senior camp that was postponed in July will be August 5-6.

      • Time will be either from 8am-3pm or 8am-4pm (Taylor to announce).

    •  Mini camp is July 15-16 from 9am-2pm with Bounce U party on the 16^th from 2:30-4pm.  Taylor to organize food for Mini’s on both days.

  • Treasurer – Amy Reed:

    • Provided a reimbursement form for those to use whenever Booster Club expenses are paid for by individuals.  Located in a mailbox next to officers boxes.

    • Reminder that Booster Fees are due each month by the 15^th.

  • Vice-President – Debbie Bray:

    •  Debbie handed out a Scrip information sheet containing everything you need to know about them along with a Scrip Survey for people to enter the names of stores/restaurants that you would purchase if they were on-hand at the gym.

      • Surveys should be returned & placed in the VP’s mailbox.

    • Verified that July 14^th Mini practice was still going to be held & at the regular time.

    • Requested that outstanding information be proved for the contact lists.

    • Costs will go up a little in total, due to the additional 2 weeks, but the multiple-child/multiple-class breaks will be increased.

    • Gym will not be closing during the July 4^th week and will not be closed as much around Christmas.

  • New trampoline floors were recently installed.

• Event Coordination – Tracy Butler:

  • Parent Meeting:

    • Billaricay Park available on Sept. 13^th.

    • Playground for kids available – but water area shut-down after Labor Day.

    • 12:30-2:30pm for the event (one hour setup & teardown needed – 11:30am-3:30 overall for those involved in those activities).

    • Practice would then be from 3-5pm for all teams.

    • May need to check on alternative date due to Taylor being unable to attend then.

  • AED purchase – update

    • Cost estimated between $1500-$1700 for one that supports both adults & kids.

    • Will check out different models for more info.

  • New trampoline floors –

    • As mentioned above.

    • Gymnastics Booster Club purchases various equipment each year & wearing shoes wears out the trampolines and other soft areas very quickly.

• Booster questions or concerns – all:

  • Idea came up as to doing something special for girl’s birthdays.

    • Spirit-gifts from Booster Club?

    • Set ritual per level (Joan to check with coaches)?

    • Cupcakes brought in – parents could do this on their own.  

  • Need to boost attendance to Booster Club meetings.

  • Tracy Butler has the legal document regarding the Booster Club’s not-for-profit corporation.

    • May ask Lesa Rae’s husband Jim if he could review it to determine if an attorney needs to be hired to assist in a name change.

• Board Member roles & responsibilities per position:
  •  Distributed to new Board – documents created during a previous cheer season
• Booster Club Fees:
  • Need to reduce Senior fees (Youth & Mini fees are ok as-is)
    • Credits to Board Members for Gymnastics are being awarded for service
    • Should credits be given to Board Members for Cheer?
      • Credits will not be given to Board Members for service this year – use Booster Fees to support the teams to keep costs down to parents
    • Fees in 2008 were $150 x 7 months = $1050
    • Original Fees in 2009 were $200 x 8 months = $1600
    • Reduce Fees in 2009 to $150 x 8 months = $1200
    • Leave UCA (Orlando) competition fees in 2009 fees, but go to COA if teams don’t qualify for UCA (might waive a future monthly Booster payment or refund net difference between UCA & COA at end of season)
  • Discussed past budget amounts for coaches travel costs, spirit gifts, banquet, misc. operating expenses of Booster Club, national practice expenses & national spirit gifts
• Uniforms:
  • Buying uniforms instead of renting will allow uniforms to be resold to others in the event a girl has outgrown their uniform
  • Senior & Youth girls to bring uniforms to practice on 6/18 to determine if they still fit (includes spankies, undershirt, skirt & top)
  • Fitting days: 6/23 for Mini’s, 6/25 for Seniors & Youth
  • Minis & other girls who are either new to the program or have outgrown their previous season’s uniform will be able to buy uniforms from those girls who need new ones
  • Competition shoes – Youth & Mini sizes to be given to one of the coaches or to Deb Lee (Booster Club Assistant)
    • $32 approx. cost – Nike Sideline Cheer (Deb to check “Team Cheer” on-line web site)
  • Booster Fee refunds to be made if less is spent on uniforms/practice gear than budgeted ($235)
